How to Write a Professional Quote
A strong quote does more than show a price. It makes the scope clear, reduces questions and gives the customer an obvious next step.
1. Identify your business and customer
Include your company information, customer name, contact information, quote number and date so the document is easy to reference.
2. Describe the scope clearly
Explain what you are providing in plain language. For project work, include assumptions, deliverables and exclusions so both sides understand the offer.
3. Use clear line items
Show products or services with useful descriptions, quantities and prices. Avoid internal shorthand that the customer may not understand.
4. Show totals and commercial terms
Make subtotal, discounts, tax and total easy to find. Add payment terms, quote expiration and other conditions that affect the purchase decision.
5. Give the customer a next step
Tell the customer how to approve the quote or ask a question. After sending, track the opportunity and follow up at the right time.
