1. Who we are

This Privacy Notice explains how Quote Pro Sales ("Quote Pro Sales", "we", "us"), operator of the QuoteProSales platform, handles your personal data. Quote Pro Sales is the data controller for the personal data described in this notice.

2. Data we collect

  • Account data — name, email address, and login credentials, used to create and secure your account.
  • Business data you enter — company profile, contacts, clients, quotes, invoices, and payment records you create in the app, used to provide the service.
  • Support messages — when you contact us, used to respond and help you.
  • Usage and device data — telemetry, device identifiers, and IP address, used for security, fraud prevention, and product improvement.

Payment card details are collected and processed by Paddle, our Merchant of Record, not by Quote Pro Sales.

3. Legal basis

We process your data to perform our contract with you (providing the service), based on our legitimate interests (security, fraud prevention, product improvement), with your consent where required (e.g. marketing), and to comply with legal obligations (tax and accounting records).

4. Who we share data with

  • Service providers / subprocessors — hosting, database, analytics, and support tooling that help us run the service.
  • Merchant of Record — Paddle, for the sale of subscriptions, subscription management, payments, tax compliance, and invoicing.
  • Professional advisers — legal and accounting, where needed.
  • Authorities — where required by law.

5. International transfers

Some of our service providers process data outside your country. Where data leaves the UK/EEA, we rely on appropriate safeguards such as Standard Contractual Clauses or adequacy decisions.

6. Retention

We keep your personal data for as long as your account is active and as needed to provide the service, then for the period required by tax, accounting, and legal obligations. Data is deleted or anonymised when no longer needed.

7. Your rights

Depending on your location, you may have the right to access, rectify, erase, restrict, or port your personal data, to object to processing, and to withdraw consent at any time. You may also lodge a complaint with your supervisory authority. We respond to requests within one month. Contact us through the support channel in the app to exercise your rights.

8. Security

We apply appropriate technical and organisational measures, including encryption in transit and access controls, to protect your personal data.

9. Cookies

We use essential cookies and browser storage required for sign-in and security. Where we use analytics or marketing cookies, you can manage your preferences through your browser settings.
